Payment and billing

Payments on VerusCars website

This section explains how payments work when you book through VerusCars: which payment methods you can use, why you might be asked to pay again even after receiving a voucher, how to see which card or method was used for your prepayment, and what to do if your payment is declined.

VerusCars usually works with a deposit / partial prepayment model: you pay part of the total online to secure the booking, and the rest is paid directly to the rental supplier at pick-up.

Here’s how it works:

Partial prepayment (deposit online)

When you book on VerusCars, you pay our service fee and, if you choose, any protection products (for example, Full Coverage) online. The remaining rental amount is paid at the counter when you collect the car.

What you pay at pick-up

At the rental desk you’ll need to pay:

  • the remaining balance for the rental itself (if any),
  • the security deposit (blocked or charged on your card by the supplier),
  • any optional extras you add locally (child seat, GPS, additional driver, etc.).

Your VerusCars voucher always contains a clear price breakdown, showing what has already been paid online and what still needs to be paid at the pick-up location.

Before confirming your booking, always review the Rental Conditions on VerusCars so you know exactly:

  • which charges are included in the online price,
  • what will be due at the counter, and
whether you need to rely on your own insurance or bank card coverage for any parts that are not covered by the supplier’s policy.

In most cases this happens because more than one booking request was created.

If you searched several times and clicked “Book” on more than one offer, each request gets its own booking number.

You might have:

one booking that you completed and paid, for which you received a voucher (this is your valid reservation), and
another booking request that you never finished paying, which will trigger an automatic payment reminder.

As long as you have a confirmed booking with a voucher, you can safely ignore reminders for any unpaid requests.

Any unpaid booking request will automatically expire after about 48 hours, and that offer will be cancelled without any charges.

For security reasons, we don’t store or display your full card details, and our customer support team cannot see your complete card number either.

If you’re not sure which card you used:

Email us at support@veruscars.com with your booking number and ask for a payment confirmation. Our accounting team can provide proof of payment (for example, transaction ID, card type, last digits where available) so you can identify which card was charged.

If you want to use a different card:

Contact us and tell us that you’d like to change the payment card for your booking.
We’ll send you a new payment link so you can pay the same prepayment amount with the new card.
Once the new payment goes through, we’ll cancel the original transaction and refund the first card.

Please note:

  • Refunds to the original card can take about 5–10 business days to appear in your account, depending on your bank.
  • All refunds must go back to the original payment method used for that transaction. We can’t redirect a refund to another card or bank account.

A payment can fail for several different reasons. Before trying again, please double-check that:

  • You entered the correct card number, expiry date and CVV.
  • Your card is enabled for online / e-commerce transactions.
  • There are enough funds or credit limit available for the amount you’re trying to pay.
  • Your card supports and has 3D Secure / strong customer authentication (code via SMS, app, token, etc.) and you completed that step correctly.

If the payment still doesn’t go through and you’re not sure why, the quickest solution is to contact your bank or card issuer – they can see the exact decline reason and help you fix it (for example, removing a security block or raising limits).

You’re welcome to try a different card as well – the card you use to pay on VerusCars does not have to be the same card you’ll present at pick-up for the security deposit.

Payments at the rental desk

This section explains what happens when you arrive to pick up the car: why the supplier may not see your VerusCars prepayment, what is (and isn’t) included in the rental price, which card you must use at the counter, how the security deposit works, and in which currency you’ll be charged locally.

When you book a partially prepaid offer on VerusCars, your online payment goes to VerusCars, not to the rental supplier. This prepayment usually covers:

  • the VerusCars service fee, and
  • any VerusCars products you added (for example, Full Coverage, if available).

The remaining rental amount is paid directly to the supplier at the counter, so in their system it will still look as if nothing has been paid yet.

If the amount the supplier asks for seems higher than expected, check whether:

  • any extras have been added locally (additional driver, child seat, GPS, cross-border fee, out-of-hours fee, etc.);
  • you’re paying for extra insurance because you chose to use a debit card or different coverage at the desk;
  • the price is shown in a different currency than on your voucher, which may include exchange-rate differences or local fees.

Compare the charges with the price breakdown on your VerusCars voucher. If something still doesn’t add up, contact VerusCars support (for example at support@veruscars.com) and we’ll help clarify the situation with the supplier.

If you have a fully prepaid booking (where the rental price has been paid in full online), you should only be charged locally for extras and the security deposit. If the supplier claims the booking hasn’t been paid, get in touch with us immediately so we can step in and resolve it.

Is everything included in the VerusCars rental price?

Not always – it depends on the country and the supplier.

For many bookings, especially within Europe, the VerusCars price generally includes all mandatory local taxes and standard fees, so there are usually no surprise compulsory charges at pick-up.

However, in destinations like the USA, Canada, South America and some other regions, certain local taxes, airport surcharges or state fees might be charged directly at the counter and may not be fully included in the online rate.

To see exactly what’s covered for your specific offer:

  1. Open the car you’re interested in on VerusCars.
  2. Check the “Rental Conditions” section – especially the parts labelled “Rate Includes” and “Rate Excludes”.

There you’ll find a detailed list of what is included in the price and which costs (if any) are not part of the total and may be charged locally.
Because VerusCars works with many different suppliers, these conditions can vary from offer to offer, so it’s always worth checking before you confirm the booking.

No. At pick-up, the payment and security deposit must be made with a card in the main driver’s name.

Even if the booking on VerusCars was paid with a different card (for example, a partner’s or family member’s), the rental supplier will normally refuse a card that does not match the name of the main driver on the contract.

So:

  • You cannot use another person’s card at the desk unless that person is listed as the main driver on the booking.
  • If you’re using a business card, it also needs to show your name as the cardholder.

To avoid issues at pick-up, always make sure the main driver brings a valid credit card in their own name with enough limit for the deposit and any local charges.

The security deposit is a temporary hold that the rental supplier places on your card as a guarantee. It’s there to cover possible costs such as:

  • new damage to the vehicle,
    missing fuel,
  • unpaid tolls or traffic/parking fines,
  • or other charges linked to your rental contract.

If you return the car on time, in the same condition, with the agreed fuel level and no fines, the supplier will release the deposit—usually within up to 30 days after drop-off (the exact timing depends on your bank).

If there are any outstanding charges, the supplier may deduct them from the deposit first, and any remaining amount will be released back to your card.

The deposit must normally be held on a credit card in the main driver’s name. You can see the exact deposit amount for your specific car in the Rental Conditions section of the VerusCars offer and on your voucher.

The security deposit amount depends on several factors, including:

  • the car category (e.g. economy, SUV, premium),
  • the country or region where you’re renting, and
  • the specific supplier you book with.

You can always find the exact deposit amount for a particular offer in:

  • the “Rental Conditions” section of the VerusCars offer,
  • your VerusCars voucher, once the booking is confirmed,
  • and the “My Bookings” area for your reservation.

Some rental suppliers may offer their own additional insurance packages at the counter that can reduce or, in some cases, even remove the security deposit requirement. Conditions vary by company and location, so it’s worth checking this directly with the supplier if a lower deposit is important to you.

Tip: When comparing cars on VerusCars, pay attention not only to the rental price, but also to the required deposit in the Rental Conditions. Cheaper daily rates can sometimes come with a higher security deposit, while slightly more expensive offers may require a smaller hold on your card.

On VerusCars you pay online using the payment methods shown at checkout (usually major credit/debit cards and, in some cases, local or digital payment options).

However, the rules at the rental desk are set by the supplier, and they can be stricter than the options available on our website. It’s very important to check the Rental Conditions of your chosen offer before you book.

Most suppliers require that:

  • The card is in the main driver’s name and is physically presented at pick-up.
  • Cards in someone else’s name (even a spouse or family member) are not accepted.
  • Cash, prepaid cards, virtual cards and many “virtual bank” cards are not accepted for the security deposit.
  • Some companies insist the card has embossed numbers and the full cardholder name printed on it (no initials only).

In some locations, certain suppliers do accept debit cards, but usually under specific conditions – for example, you may be required to:

  • purchase additional insurance directly at the desk, or
  • meet stricter deposit or documentation requirements.

All of these details are listed in the Rental Conditions for each offer on VerusCars. Always review this section carefully to make sure the card you plan to use at pick-up will be accepated for both the remaining balance (if any) and the security deposit.
